Trade School Manager - Cap-Haitien Campus

Position Summary
The Trade School Manager (TSM) position is a key member of the Extollo Trade School Team, performing a variety of leadership and administrative support tasks to further Extollo’s mission through the Trade School program. The TSM will oversee the effective and efficient functioning of all Trade School programming. The TSM will have excellent oral and written communication skills and be competent in using Extollo’s digital business tools, such as Microsoft Word and Excel, Quickbooks Online, Asana, Slack, Zoom, and others.

 

Primary Responsibilities
The critical deciding factor for a TSM to join Extollo will be the fit with the vision, mission, and values of the organization. Responsible for ensuring all Extollo Trade School operations including Level 1, Practicum, Alumni and Open House programs are executed with excellence. This position requires a holistic and proactive approach that ensures existing programs are properly prepared and executed, while simultaneously planning and preparing for upcoming programs. The TS Manager coordinates with the TS Director and General Manager and oversees the TS Administrative Assistant and Trainers.

1. Level 1 Trainings

  • Leadership: Work with the Trade School Director (TS Director) to establish the trade school strategy, including annual and quarterly goals and objectives. Help develop, market and implement new training programs. Manage the master training schedule and ensure the availability of training resources in collaboration with the construction team. Work with TS Director to develop, market and implement new training programs. Establish relationships with NGO partners and the community to promote and fill classes. Manage and set expectations for TS Admin Assistant and Training Staff job performance. Liaison with students to resolve issues as needed. Identify and communicate issues to US leadership, provide suggestions for training program improvements. Oversee trainings and training team, leading class start and completion and monitoring trainer performance.

  • Promotion: Oversee the promotion of Level 1 classes. Work with TS Director to confirm schedule and class details. Work with TS Administrative Assistant to promote trainings via email, social media and flyer distribution, in addition to word of mouth. Ensure promotional photos and videos are taken during class for social media distribution. Work with Marketing team to produce and share progress reports with each sponsor supporting at least one student.

  • Registration: Oversee registration process. Screen applicants and contact qualified students to attend Level 1 classes per the criteria stated in the Trade School SOP. Oversee TS Administrative Assistant in registration set-up and clean-up.

  • Administration: Oversee TS Admin Assistant to ensure all student information is correctly gathered and uploaded to the server or entered in the database prior to the start of each class and after class is completed.

  • Tools, Equipment and Materials (TE&M): Manage inventory and procurement of training tools, equipment, and materials. Ensure training materials and supplies are on-site and ready prior to the start of class. Ensure tools and equipment checked out by training staff are returned, accounted for and in good working condition following class. Oversee TS Administrative Assistant to keep inventory spreadsheets updated.


2. Practicum

  • (TE&M): Print and distribute training materials for US Trainers and students prior to training including; Learning agreement templates, project lists, work/team assignments and schedules and Practicum supplements (if relevant).

  • Planning: Attend pre-training planning meetings to gain understanding of Practicum projects. Attend Training Program Coordinator lead daily/weekly meetings with US trainers and students to follow project progress and support team member needs.

  • Database: Enter timecard data into the database: Enter data according to the database checklist; All data for a given week to be entered and reviewed by the end of the following week.

 

3. Private Classes

  • Promotion: Through word-of-mouth networking and social media, promote private class opportunities to local NGO’s. Establish sponsor needs and ensure their satisfaction through on-going communication during training. Share success stories with sponsors and marketing team.

  • Schedule: With TS Director to establish private class schedule, avoiding conflicts with existing training programs.

  • Admin: Ensure all admin tasks related to class are completed accurately and in a timely manner. Coordinate with the Business Ops Team to invoice sponsors and ensure timely tuition payment prior to class.

 

4. Alumni Program

  • Promotion: Through word-of-mouth, Whatsapp and Facebook Alumni Group channels, build an engaged alumni community, announce events, training and job-related opportunities. Weekly review of social media platforms to respond to alumni questions.

  • Training: Work with TS Director to strategize, plan and implement new training programs for alumni, including seminars and workshops.

  • Events: Work with TS Director to strategize, plan and implement new alumni events. This includes program development, promotion, event set-up, guest speaker/activities development and coordination with participants. Ensure documentation of event with photos and video.

  • Job Opportunities: Develop outreach campaign with NGOs and construction companies to source job opportunities for graduates.

  • Admin: Ensure alumni contact information is regularly updated in the database

 

5. Open Houses

  • Planning: With US leadership and General Manager to develop key topics/outline and program presentation.

  • Communication: Send out invitations, and coordinate event details with guests.

  • Database: Ensure participant data is entered properly and in a timely manner.

  • Logistics: Oversee the printing of flyers/marketing materials and presentation stand set up.

  • Promotion: Ensure documentation of events with photos and video clips.

 

Reporting Relationships
Reporting to the TS Director, the TSM has overall responsibility for managing, and constantly improving, the operations of the Trade School on Extollo’s campus. In collaboration with the TS Director and the General Manager, the TSM oversees the TS Administrative Assistant and TS Trainers.

  • A successful TSM is someone who is curious, teachable, very patient, humble, and confident, and takes full ownership of all they do. The TSM will have an unwavering commitment to excellence and a passion for using their skills to serve others.

 

The professional qualifications we’re looking for are:

  • The completion of university studies in education or business management or 5 years management work experience (Extollo training certification is a plus).

  • Excellent time management skills and the ability to prioritize work. Strong organizational skills with the ability to manage multiple concurrent projects and tasks, completing them in a timely manner.

  • Speak and write fluently in Haitian Creole, English and French.

  • Proficiency in MS Office (Microsoft Word, PowerPoint, and Excel) and the aptitude and willingness to gain proficiency in Asana and Slack.

  • Proven experience in representing an organization with professionalism, integrity, and cultural awareness.

  • Ability to partner and build relationships with management, colleagues, and vendors while demonstrating leadership and integrity and promoting team success.
